IntraOut in CEP
The Center of European Projects is a state budget, which goal is to support institutions implementing operational programs such as: Interregional Cooperation, Human Capital or the European Social Fund. CEP activities are financed by the state and from the EU funds.
The situation before running IntraOut
The lack of an integrated communication environment resulted in the dispersal of key information within systems that additionally did not cooperate with each other. The need of maintaining multiple contacts, conducting phone calls, carrying on with business correspondence and finally the exchange of data generated significant telecommunication costs and operational expenses. CEP was seeking to improve communication, while guaranteeing security of the information flow. Expectations assumed e-mail, phone, web and instant messaging integration. Because the CEP was now distributed within five different locations, the emphasis was placed on implementing an efficient communication model in a distributed environment. Complex solutions require significant investments in the hardware architecture, as well as specialized software, which was too big a burden on the budget of the CEP, therefore they chose to invest in an innovative SaaS model solution.
Solution
The Center of European Projects chose the IntraOut platform, which was launched with the support of Edge Solutions. The access to all the platform features (e-mail, messenger, fax, calendars, virtual drive) is carried out through a web browser.
Nearly 100 user accounts, where configured within four already existing mail server domains, so there was no need for any changes in the contact information. All IntraOut platform users had access to a shared contact database, file database, shared calendars, secure e-mail, encrypted instant messenger, VoIP services including videoconferencing, and additionally they were able to synchronize all this with their mobile devices. Altogether 85 VoIP numbers were configured within this project.
Benefits
The Center of European Projects successfully implement a communication system, which effectively reduced operational costs associated with telecommunication services and the infrastructure maintenance. The SaaS model helped CEP avoid initial investments in specialized software and IT infrastructures.
Thanks to IntraOut CEP managed to reduce its communication costs by 30 percent.
The Center managed to create a comprehensive and integrated platform, which is characterized by high efficiency in handling communication between the staff as well as the external world. An additional advantage of the platform is the security of all the communication channels and the data stored within the platform. It is achieved on both physical and software level. IntraOut is situated in a professional collocation center, which security is officially certified.
Last but not least it is worth noting the scalability of this solution, it can evolve with CEP’s change of requirements.
